1. Project Background

In mid-2025, a French real estate and office management company contacted us while planning to upgrade several floors of their commercial office space. Their goal was to create more quiet collaborative areas for tenants who frequently conduct online meetings and team discussions.

They were interested in our four-person acoustic pod, particularly because of its flexible installation, ventilation system, and excellent noise control.
To evaluate the product’s structure and craftsmanship, the client requested an onsite factory visit before placing the final order.

2. Factory Visit & Initial Evaluation

Upon arrival at our 25,000 m² MEI YI manufacturing facility, the French client toured multiple production sections, including:

• Wood panel processing

• Aluminum frame extrusion

• Tempered glass assembly

• Electrical system wiring

• Final testing & QA rooms

During the visit, they focused heavily on:

• Sound insulation thickness of the walls

• Ventilation airflow level suitable for long meeting sessions

• LED lighting brightness control

• Door sealing system for noise reduction

• Cable management ports for conferencing equipment

Our engineering team demonstrated a fully assembled four-person pod, allowing the client to test soundproofing on-site. They conducted their own recording tests and were satisfied with the acoustic performance.

3. Understanding Client Requirements

The customer outlined their specific needs for the 10 pods:

• Uniform design to match their office building’s modern aesthetic

• Interior upholstered panels in dark grey for a professional look

• Power outlets compatible with EU standards

• Enhanced ventilation to allow comfortable usage for up to 1–2 hours

• Built-in table with cable pass-through for meeting devices

• Fire-retardant materials compliant with European workspace regulations

We also reviewed their office floor plans and recommended installation placements to optimize traffic flow and minimize noise interference.

4. Technical Adjustments & Custom Design Support

To meet the client’s requirements, our design team prepared:

• Updated CAD floor plans

• A 3D interior layout for the four-person pod

• A material list outlining glass specifications, acoustic felt, and aluminum frame colors

• Optional add-ons (motion sensor lighting, improved ventilation fan, digital door lock)

The client selected a matte black aluminum frame, frosted lower glass, and integrated lighting control to enhance privacy and ambiance.

After confirming all details, they approved the final version.

5. Production & Quality Control

Production followed strict procedures, especially since acoustic pods involve electrical and structural components:

• Inspection of aluminum frames for surface finish

• Testing wall panels for decibel reduction performance

• Pre-wiring electrical systems according to EU standards

• Installing double-layer tempered glass

• Simulated assembly test for each pod to ensure proper fitting

• Final inspection on ventilation noise level and sealing strips

All pods were required to pass our soundproof performance test before packaging.

6. Packaging & Shipment to France

Given that acoustic pods are large and contain delicate glass components, we designed protective packaging:

• Thick foam wrapping on all panel edges

• Reinforced wooden crates

• Individually labeled components for easy installation

• Export cartons with bilingual installation instructions

The goods were shipped in two 40HQ containers to Le Havre Port, France.
We provided online installation support and detailed manuals for their local assembly team.

7. Customer Feedback & Next Steps

After installation, the client reported that the pods significantly improved meeting efficiency and reduced noise issues in open-office areas. Employees praised:

• The comfortable interior

• Excellent ventilation

• Clear acoustic separation during online meetings

• Stylish design that complements the office layout

The client has expressed interest in purchasing phone booths and two-person pods for the next construction phase, establishing a long-term partnership.
